authors INFORMATION

 We would like to thank you for accepting to participate to ECOC 2014 in Cannes. You will find below some information that will help prepare your contribution.

All authors should have at least one registration attached to their paper on or before Monday, 25 August in order to be included in the conference proceedings.

(1) As author of an oral presentation

(1a) Author of a regular paper accepted as oral
(1b) Author of an invited paper
(1c) Author of a tutorial paper
(1d) Contributor to a symposium
(1e) Contributor to a workshop

All authors who submitted a 3-page paper will:

  • have their paper(s) published as part of the conference proceedings, complete with ISBN reference number. The conference proceedings will be available to all conference delegates on a memory stick.
  • have their paper(s) published on IEEE Xplore, after the conference.  Note that if the speaker fails to show up at the conference, the paper will be not referenced on IEEE Xplore.

You should create a Powerpoint presentation to present to the audience at the conference.
Format: slide ratio should be 4:3

Please bring your slides on a memory stick. Presenters are not permitted to use their own laptops.

If your talk is scheduled Monday through Thursday, you must visit the speaker room (Auditorium C) during registration hours (between 08:00 and 18:00) but at least 3 hours before your presentation time to upload your PowerPoint presentations slides and ensure their compatibility with the equipment.

If you talk is scheduled on Sunday, during a workshop, you should bring your memory stick at least 30 minutes before the beginning of the workshop, directly to the workshop room, where the workshop organizer will help you upload the slides.

Presenting authors are asked to be in their allocated room 10 minutes before the session starts, in order to meet with the session Chair.

To allow attendees to move from one room to another easily, the session chairs will be asked to strictly follow the schedule. To make the conference interactive, we recommend that you leave enough time for questions and answers when preparing your slides, according to the following timing:

ECOC 2014 in Journal of Lightwave Technology

The ECOC 2014 organizers are delighted to announce the launch of a new partnership with Journal of Lightwave Technology for a special Issue on ECOC 2014 to be published early 2015.
The TPC has shortlisted the authors of the 10% best scored papers from each subcommittee (referred to as “highly scored” in the programme), the authors of all post deadline papers, the invited speakers and the tutorial speakers to submit an extended version of their work as invited papers into the special issue of Journal of Lightwave Technology.
The very high rate of positive responses from authors who received requests to contribute has exceeded our best expectations. By summarizing the highlights of ECOC 2014, we believe that this special issue will become a new reference issue for the optical communication community.

(2) As author of a poster presentation

You will

  • have your paper(s) published as part of the conference proceedings, complete with ISBN reference number. The conference proceedings will available to all conference delegates on a memory stick
  • have your paper(s) published on IEEE Xplore, after the conference.  Note that if you fail to show up at the conference, your paper will be not referenced on IEEE Xplore.

You will bring along a printed poster for display in the poster area at the conference.

The poster area is located in the lobby of the Debussy Theater, on two floors. Please check the conference programme for your poster number, and for which floor your poster should be displayed on.

Posters should be hanged anytime starting from Wednesday 13:00. They should be removed at the end of the poster session or they be will be destroyed.

The poster session starts at 15:45 on Wednesday, just after the end of the afternoon oral session. No break is planned at the transition between sessions, unlike the rest of the week, but refreshments will be served during the poster session.

Your poster display

To display your poster, you will get two joint 2m-high, 1m-wide boards (equivalent to a full 2mx2m board), with a sign indicating your poster number and adhesive tape.

To use the maximum of this space, you may split your (portrait) poster in two A0 (118.9 cm (H) x 84.1 cm (W) portrait) subparts. If you prefer a one-piece poster, we recommend a landscape layout, e.g. 118.9 cm (H) x 168.2 cm (W)

We strongly discourage the use of multiple A4 or US letter printed sheets. Please note that poster boards are not supplied with electricity or audio visual equipment.

You should clearly display the following information on your poster board:

  • The title of your paper
  • The authors’ names and their affiliations
  • Your usual contact details (e.g. an email address) to allow delegates to follow up discussion

Useful tips

The display should be visually appealing and should contain the essence of your paper in a form that is easy to understand. Try to attract the registrants to your poster. Unless they come to it, you cannot expect to have a discussion with them

  • Your display should consist chiefly of keywords, diagrams, photographs, etc.
  • The poster can contain visuals that were not present in your paper
  • Diagrams and graphs should have clear captions
  • All text should be easy to read, make it BIG!
  • Use colour to emphasise important features
  • All graphs and diagrams should be drawn with thick lines (preferably 1mm or more in width)
  • Handwritten text or diagrams are not recommended.

(3) As author of a postdeadline paper 

You will

  • be notified onsite at the conference on Monday 22 September 2014 on whether or not the paper has been accepted
  • present your paper at the ECOC 2014 conference in one of the dedicated post deadline paper sessions on Thursday 25 September
  • have your paper published on the ECOC website during the conference
  • have your paper(s) submitted for inclusion after the conference on IEEE Xplore.
  • have the opportunity to write an extended version of your work, as invited paper into the special issue of Journal of Lightwave Technology on ECOC 2014.

The Technical Programme Committee (TPC) welcomes and encourages the submission of original, unpublished, clear, accurate, and relevant papers in any of the 7 topic areas listed in the technical scope page.

The ECOC, Systematic, or other associated societies cannot meet any travelling or subsistence expenses for authors, either prior to or during the conference.

Successful authors will:

  • Have at least one registration (non-refundable registration fees) attached to their paper on or before Sunday, 6 July 2014 in order to be included in the conference proceedings.
  • The accepted papers will be published as part of the Technical Digest, complete with ISBN reference number and available to all conference delegates. After the conference, the accepted papers will be referenced on widely-distributed scientific databases (IEEE Xplore) and can be downloaded from there.
  • Authors from the most highly ranked papers will be invited to publish an extended version of their work into a special issue of Journal of Lightwave Technology, after the conference.
  • Present the paper by an oral or poster presentation. Papers that are not presented will not be indexed on IEEE Xplore.
